Shipping policies & procedures.

The rules of the road for every consignment we handle, from labelling and weight rules to claims, customs, and prohibited items. If you’re not sure how something applies to your shipment, just ask us.

01

Proper package labelling

Every parcel sent to our Guangzhou warehouse must carry your assigned shipping code on the outside of the package. The code links the parcel to your account so we can receive, weigh, and consolidate it correctly.

  • Include the full shipping code provided when you generated your address.
  • Write the code clearly on the outermost box, not only on inner cartons.
  • Supplier invoices and packing lists should also reference the code.

Unlabelled parcels are held as unidentified freight. We hold them for a limited period while we try to match them to an account. Unmatched parcels may be disposed of after the storage window expires.

Minimum weight & charge

Each shipping lane has a minimum billable weight. Parcels below the minimum are billed as if they met it.

  • Air Standard & Air Sensitive: 1 kg minimum per shipment.
  • Sea freight: 21 kg minimum per shipment.

The minimum applies to each dispatched consignment, not to each supplier parcel held in the warehouse. Consolidation lets multiple small parcels move under one billable consignment.

Actual & volumetric weight

Shipments are charged on whichever is higher between the actual (physical) weight and the volumetric (dimensional) weight. This is standard practice across all commercial freight.

Volumetric weight is calculated as:

  • Air freight: (Length × Width × Height in cm) ÷ 5,000
  • Sea freight: charged by CBM (cubic meter) where applicable

We reweigh and re-measure every inbound parcel at our Guangzhou warehouse and share the chargeable weight before dispatch.

Free storage

We store your inbound parcels in our Guangzhou warehouse free of charge for up to 30 days from the date of arrival.

  • Storage is free during the 30-day consolidation window.
  • After 30 days, a small daily storage fee applies per parcel.
  • After 90 days with no activity, unclaimed parcels may be disposed of.

If you need an extended hold (for example, you’re consolidating a large order across several weeks), let us know in advance and we’ll work out an arrangement.

Taking items out of the warehouse

Parcels held in our warehouse can be released to a local Guangzhou address or collected in person before they are shipped internationally.

  • Release requests must be submitted by the account holder.
  • A local handling fee applies to in-person or local-courier pickup.
  • Collecting agents need written authorisation from the account holder along with valid photo ID.

Insurance coverage

Cargo insurance is optional and offered as a paid add-on. Without insurance, standard carrier-liability rules apply. These typically cap compensation at a fraction of declared value and exclude many common loss scenarios.

  • You choose the declared value at the time of dispatch.
  • The premium is a small percentage of declared value.
  • Coverage attaches at warehouse dispatch and ends at delivery or pickup.

We strongly recommend insurance for high-value or irreplaceable consignments.

Lost, damages & compensation

If a shipment is lost or damaged in transit, we’ll work with you and the carrier to resolve the claim.

  • Report window: damage claims must be reported within 7 days of delivery, with photos of the packaging and contents.
  • Insured shipments: compensation is settled at the declared insured value after assessment.
  • Uninsured shipments: compensation follows standard carrier liability, which is limited.
  • Claims require the original supplier invoice, dispatch photos, and delivery photos of the damaged state.

Customs & duties

Customs duties, import taxes, and clearance fees are set by the destination country’s government. They are the responsibility of the consignee (the importer) and are not included in our shipping fees unless explicitly quoted as a delivered-duty-paid (DDP) arrangement.

  • We provide commercial invoices and packing lists for clearance.
  • Our Lagos team can advise on duty rates for common HS codes.
  • DDP and clearance-handling arrangements are available on request and quoted separately.

Customs, contraband & seizure

If a destination customs authority seizes goods for any reason (including false declarations, prohibited items, counterfeit trademarks, or incomplete documentation), Naiyuan Mart cannot be held liable for the seized value.

  • You are responsible for the legality of the goods you ship in your destination country.
  • We assist with customs paperwork but cannot guarantee clearance.
  • If goods are flagged or held, we’ll notify you immediately and support the response where possible.

Delivery times

Transit times are indicative and measured from dispatch out of our Guangzhou warehouse, not from when suppliers deliver to us. Customs clearance and last-mile delivery may add further time.

  • Air · Standard: 5–7 days to major destinations.
  • Air · Sensitive: 14–17 days for batteries, magnetic, cosmetics, and other restricted categories.
  • Sea freight: 35–45 days, port-to-port plus last-mile delivery.

Peak seasons, weather, carrier capacity, and destination customs can extend these windows. We share live updates through your account.

Payment & pickup (Nigeria)

For shipments to Nigeria, payment terms and pickup procedures are:

  • Payment: final shipping invoice must be settled before release at our Lagos office.
  • Pickup: available at our Lagos address with valid photo ID and the shipping code.
  • Authorised agents: must carry written authorisation from the account holder plus their own valid ID.
  • Holding period: parcels at the Lagos office are held free for a limited period, after which a small daily holding fee applies.

Way-billing & doorstep delivery

Doorstep delivery (way-billing) is available across Nigeria and most international destinations.

  • Way-bill charges are quoted on top of the shipping fee and vary by city and parcel size.
  • Delivery times to doorstep run 1–3 business days within Lagos, longer for other regions.
  • A phone number is required so the last-mile driver can coordinate delivery.
  • Failed delivery attempts may incur a re-delivery fee.

Prohibited items

The following cannot be shipped through our network. Parcels containing any of these items may be rejected at the warehouse, seized by customs, or destroyed, and are not insured.

  • Hazardous materials (flammables, corrosives, radioactive goods)
  • Firearms, ammunition, and weapon components
  • Counterfeit trademarks and pirated goods
  • Narcotics and controlled substances
  • Currency, negotiable instruments, and precious metals in bulk
  • Live animals, perishable food without proper cold-chain arrangement
  • Human remains
  • Restricted electronics (certain lithium batteries, high-powered lasers)
  • Any item banned under the destination country’s import regulations
